Privacy notice
Clearform is built to process business documents into structured data. This starter privacy notice explains what the prototype is designed to collect, how that data is used, and the controls we expect to provide before production launch.
Data we process
Clearform may process account details, workspace membership, uploaded documents, extracted field values, validation activity, export history, storage metadata, support messages, and usage events. Uploaded documents may contain personal information depending on what a customer submits.
- Account data: names, email addresses, roles, session records, workspace settings, and billing-related metadata.
- Document data: uploaded files, rendered pages, extracted fields, validation notes, export files, and audit events.
- Technical data: request timestamps, object keys, processing status, page counts, and basic usage metrics.
How we use data
We use data to provide document ingestion, extraction, review, export, workspace administration, support, abuse prevention, billing, security monitoring, and product improvement. The production system should avoid collecting sensitive information unless it is needed to provide the service.
Sharing and processors
Clearform does not sell prototype data. In production, data may be processed by infrastructure, storage, payment, support, analytics, email, and AI processing providers needed to operate the service. A final vendor list should be added before launch.
Retention and deletion
Document and extraction data should be retained only as long as needed for the customer workspace, legal requirements, security, billing, and backup integrity. Production accounts should include controls to delete uploads, exports, and workspaces where appropriate.
Your choices
Customers should be able to request access, correction, export, or deletion of account and workspace data. Some records may need to be retained for security, audit, billing, or legal reasons.
